The type of personal information we collect

We currently collect and process the following information:

  • Contact information, including name, phone number and email address

  • Medical and size information for clients who undertake activities with us

  • Emergency contact information (name and telephone number) for who to contact in case of emergency.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To answer enquiries from yourself or someone acting on your behalf. This can be by phone, email or in person.

  • To complete a booking, we require that you complete our risk form which includes medical information, clothing and shoe size and date of birth. This information allows us to best keep you safe, choose appropriate equipment and provide necessary information to emergency services if required. 

  • To allow us or the emergency services to contact someone you wish to be notified in case of an incident, if you are unable to do so yourself.

  • To fulfil our reporting and recording procedure in the case of an accident or incident. This may be provided directly by you, or transferred from the information provided at the time of booking.

We use the information that you have given us in order to

  • Create and process your booking.

  • Ensure your safety during your time with us.

  • Provide the emergency services with the information they need if an incident or accident occurs.

  • Fulfil our reporting requirements, which include sharing information relating to incident and accidents with the Health and Safety Executive as required under RIDDOR.

  • Take part in British Canoeing’s incident reporting system, through providing anonymised information.

  • Deliver qualifications and awards which may involve sharing information with the Scottish Canoe Association.
